  • Position Summary

    Under the general direction of Supervisor, the Administrative Specialist I performs a combination of administrative, project, and operational support work for the Swab and Send Program (20 hours) and Diabetes Prevention Program (20 hours)

    The Swab and Send program is a collaboration between the state of Maine and MaineHealth to offer expanded access to COVID-19 testing. The Swab and Send administrative coordinator will be responsible for managing a the Swab and Send results phone line and email inbox. This work will include identifying patients with COVID test results, notifying patients, and documenting that notification. In addition the coordinator will be responsible for answering any calls or emails from patients who have questions about the status of their test results.

    The Diabetes Prevention Program is a system wide program aimed at reducing the risk of developing type 2 diabetes. The administrative coordinator will be responsible for coordinating the daily activities and administrative operations of the program while working closely with management, departmental staff and the program’s coaching team. This role is responsible for administrative functions related to program enrollment, program phone line, email inbox, managing schedules and calendars, ordering supplies, and other similar activities.

  • Required Minimum Knowledge, Skills, and Abilities (KSAs)
    • Education: High school diploma or GED preferred. Bachelor’s degree preferred.
    • License/Certifications: N/A
    • Experience: 4-5 years of experience in an administrative support role preferred.
    • Strong written and oral communication skills.
    • Demonstrated experience with all Microsoft Office suite products.
    • Strong interpersonal skills.

    • Strong organizational skills.
    • Ability to prioritize competing deadlines.
